AI receptionist for small business: real examples and how to set one up

Updated 2026-10-16 · Based on 25 real use cases on this site, each linked to its source.

An AI receptionist is a voice agent that answers your business phone. It talks with callers in plain language, answers common questions, books appointments into your calendar, and passes the call to a person when it should.

Most small businesses don't have a demand problem. They have a phone problem: the owner is on a roof, under a car, or with a customer, and the call goes to voicemail. Below are real small businesses that fixed this, what they used, and the steps you can copy.

What an AI receptionist can do for a small business

  • Answer every call, day and night, including when your team is busy.
  • Answer the same questions you get every day: hours, prices, services, where you are.
  • Book, move and cancel appointments in your real calendar or job software.
  • Take phone orders and send them to your POS (restaurants).
  • Screen new leads with your questions and log them in your CRM.
  • Send urgent calls (a burst pipe, a sick pet, an active roof leak) to a person right away.
  • Send text confirmations and reminders so fewer people miss their appointment.

What it should not do

  • Give medical, legal or insurance advice. Set it to hand those calls to a person.
  • Quote prices that aren't on your list. Give it your price list and tell it to stick to it.
  • Promise things only you can decide, like discounts or same-day visits you can't staff.

Real examples by business type

Every result below is what the linked source reports. Company case studies are written by the tool maker, so read them with that in mind.

Restaurants & cafés

Salons & spas

  • Fill barber chairs by answering every call and booking on the spot. Tool: AgentZap AI receptionist. A Chicago barbershop with six busy chairs was missing calls mid-cut. An AI receptionist now answers instantly, checks each barber's availability, matches clients to specialties, texts confirmations, and gives walk-in wait times. The shop reports about 55% more appointments from calls that used to go to voicemail.

Contractors & home services

Cleaning services

  • Answer every cleaning-business call and book jobs while owners are on site. Tool: 6-agent AI receptionist. An Australian cleaning company ran a 6-agent AI phone system for four months: 2,001 calls handled, 103 jobs booked (~$24,694), and 769 calls finished without a person. Owners traveled overseas while bookings and reschedules kept going.
  • Book carpet-cleaning jobs fast and upsell add-ons with voice and SMS. Tool: Twilio AI voice + OpenAI + Jobber + Zapier. A Thousand Oaks carpet cleaner was losing about 22% of leads while staff managed Jobber. An AI voice agent now answers overflow and after-hours calls, texts for stain photos, suggests tile or upholstery add-ons, and reminds customers at the 6-month refresh. The case study reports under 45-second lead response and about $92 more per job.

Retail shops

  • Take florist phone orders during Valentine's rush and collect payment. Tool: Team-Connect AI receptionist + Stripe. A Bath florist was answering under half of Valentine's calls while arranging flowers. An AI receptionist now takes bouquet orders, delivery address and card message, sends a Stripe payment link, and works after hours. Peak-season orders rose about 85% in the case study, with payment collected before arranging.

Real estate

  • Answer tenant maintenance calls and create work orders with a voice agent. Tool: Twilio + ElevenLabs + OpenAI, linked to the CRM. 60% less of the manager's time spent on calls, zero missed maintenance calls, every request logged with a task, and emergencies passed to the manager in under 10 seconds. Version 1 went live in 3 weeks because the intake steps were already written down.

Law firms

Clinics & dental

  • Turn a dental office's missed calls into booked visits. Tool: Arini AI receptionist. A dental practice put an AI receptionist on calls it was missing (about 500 a month), booking patients straight into the schedule.
  • Let an AI assistant answer a chiro clinic's phones and book visits. Tool: AI call and text assistant. A Grapevine, TX chiropractic and acupuncture clinic with 150+ calls a month put a 24/7 AI on the phones. In the first 30 days it handled 172 calls and booked 32 new appointments, plus many text threads, so staff could focus on patients in the chair.
  • Cover two dental offices' phones with one AI receptionist. Tool: Savvy Agents (Ira AI receptionist). First 90 days: 1,700+ calls handled across both offices, 184 appointments booked, 12 new patients captured, and about $230,000 in production the owner says used to slip away. The receptionist could finally plan a month off.

How to set up an AI receptionist, step by step

  1. Count the calls you miss. Check your phone log for two or three weeks. Count calls missed during business hours and after hours. One auto shop owner in our list was surprised by how many daytime calls were missed, not just evening ones.
  2. Write down your call types and rules. List the reasons people call (new booking, change, question, emergency, sales pitch) and what should happen for each. Write down what counts as urgent and who gets those calls. A property manager in our list went live in 3 weeks largely because these rules were already written down.
  3. Pick a tool that connects to what you already use. The examples below connect to Google Calendar, dental practice software, Zuper, Lawmatics, Clover and other CRMs. If the receptionist can't see your real schedule, it can only take messages.
  4. Load your facts. Give it your services, prices, hours, service area, staff names and specialties. The more exact this is, the fewer wrong answers.
  5. Start with overflow or after hours. Let it answer only when nobody picks up, for example after 15 seconds of ringing, or only after closing. One repair shop sent half its calls to the AI first, checked the conversations, then handed it all overflow and after-hours calls.
  6. Test, listen and adjust every week. Call it yourself. Read the transcripts every week and fix the script. One law firm's results improved week after week as they tuned it.
  7. Call leads back fast. The AI captures the lead, but you still close it. A law firm in our list closed far more cases in the weeks it called AI-screened leads back quickly.

Frequently asked questions

What is an AI receptionist?

A voice agent that answers your business phone. It talks with callers, answers common questions, books appointments, takes orders or messages, and transfers calls to a person when needed.

Will my customers know they are talking to AI?

Some will and some won't. In our examples, a pizzeria's customers complimented its AI by name, and an insurance agency found that most customers adapted quickly after some early pushback. Be honest if a caller asks, and check your local rules on call recording and disclosure.

How much does an AI receptionist cost?

It depends on the tool. Some charge a flat monthly fee and some charge per minute or per call. One example on this site: a bagel shop pays $350 a month for its restaurant phone ordering plan. Compare the cost with what one missed job or order is worth to you.

Can it book appointments straight into my calendar?

Yes, if it connects to your calendar or job software. The examples here book into Google Calendar, dental practice software, Zuper and other CRMs, and restaurant ones send orders into the POS.

What happens with emergencies?

You set the rules. In our examples, a property manager's agent transfers burst pipes and gas smells to the manager's cell in under 10 seconds, and a roofing company's agent sorts urgent calls and logs callbacks.

Will it replace my receptionist?

In most of our examples it didn't. A dentist's single receptionist could finally plan time off, and a pizzeria moved its phone staff to serving guests at the counter.

Should it answer every call or just missed ones?

Starting with missed calls and after-hours calls is the safest way to begin. Once you trust it, you can let it answer more.

How long does setup take?

In our examples, it ranged from a few days to about four weeks, depending on how many systems it had to connect to and how much testing was done.
