AI receptionist for hair salons: real examples and how to set one up
Updated 2026-10-26 · Based on 16 real use cases on this site, each linked to its source.
An AI receptionist for a hair salon is a voice AI that answers your salon's phone when nobody can. It talks with callers in plain language, books, moves and cancels appointments straight into your salon software (like Square, Meevo or Phorest), answers common questions, and takes a message or passes the call on when it should.
Salons have a simple phone problem: the people who would answer are holding scissors or color brushes, and many calls come after closing. Callers rarely leave a voicemail; they book somewhere else. Below are real salons, barbershops and spas that put AI on the phone, what they used, and the steps you can copy.

What an AI receptionist can do for a salon
- Answer calls while every stylist is with a client, so nobody has to stop mid-cut.
- Answer after closing and on closed days. Several salons in our list found 1 in 5 or 1 in 4 calls came while they were closed.
- Book, move and cancel appointments in your real booking system, with the right stylist and service.
- Offer a new time when someone calls to cancel, so the slot isn't lost.
- Answer the same questions all day: prices, services, parking, opening hours.
- Text back callers it couldn't help, and send the team a note of each call.
What it should not do
- Quote prices or services that aren't on the list you gave it.
- Promise a stylist's time it can't see in the booking system.
- Handle complaints or color corrections on its own. Have it take a message for the manager.
Booking software: check this first
- The salons on this page book through Square, Meevo, Phorest, Mindbody and other diaries. An AI receptionist that can't see your real book can only take messages.
- Some salon software now has its own AI receptionist built in, and separate tools connect to it from outside. Ask any tool maker which booking system it works with before you sign up.
- If you change booking systems often, pick a tool that connects to more than one.

- Let an AI receptionist book beauty salon calls when everyone has a client. Tool: CallPad (AI receptionist). In the first 16 weeks it took about two and a half working days of phone time off the team. 1 in 5 calls came while the salon was closed, and about 30 of those callers booked. The tool maker estimates £7,000+ of appointments from about 180 new bookings.
Salons with no front desk or closed days
- Let an AI receptionist book, move and cancel salon appointments. Tool: CallPad AI receptionist. In 10 months it answered 752 calls. About 1 in 4 came while the salon was closed, and about 190 bookings, moves and cancellations went straight into the diary (about 50 while nobody was in the building), the case study says.
- Stop spending evenings returning salon calls. Tool: CallPad AI receptionist. In 10 months it spent 23 hours on the phone so the team didn't have to. About 1 in 5 calls came outside opening hours, and about 175 calls ended with the diary updated, including around 115 new bookings, the case study says.
- Catch after-hours salon bookings with an AI receptionist that works with Phorest. Tool: BookingBee.ai (AI receptionist) with Phorest. The vendor reports an 8x return in the first month, with 24% of incoming calls converting. It went live in one week.
Big salons and salon groups catching after-hours calls

- Let an AI receptionist book, move and cancel salon appointments. Tool: CallPad (AI receptionist). It took 111 hours of phone time off the three front desks. 1 in 4 calls came while a salon was closed, and about 140 appointments were booked in those hours. The case study estimates £20,000+ of new appointments from about 670 new bookings. When one receptionist was off for more than four weeks, no client was cancelled.
- Book and cancel salon appointments after hours with an AI receptionist linked to Phorest. Tool: Salon Agent AI + Phorest. Fewer calls at the front desk, more new-client consultations booked, and fewer missed appointments, the salon says. No numbers are given.
Barbershops
- Answer barbershop calls and book appointments with an AI receptionist. Tool: AgentZap AI receptionist. A Chicago barbershop was missing calls while barbers were cutting hair. It set up an AI receptionist that answers calls, checks each barber's open times, books visits, texts confirmations, and gives walk-in wait times. The vendor's case study says the shop booked 55% more appointments from calls that were previously missed, within 60 days.
Med spas and wellness studios
- Answer and book every caller from your ads at a small med spa. Tool: Smith.ai AI Receptionist. The owner says it was up and running within about an hour, and patients she asks say they love it. No numbers given.
- Turn missed calls into bookings at a wellness studio. Tool: Mindbody Messenger[ai]. In January 2021 it handled 189 missed calls, made 15 fully automated bookings, brought 6 new clients and $1,250 in revenue, and passed 34 conversations to staff, the case study says.
Pet groomers (same problem: hands busy, phone ringing)
- Stop putting down the clippers: let an AI book grooming appointments. Tool: Upfirst (AI receptionist). The owner says it takes ten to twenty calls a day off her hands.
- Catch the calls your pet daycare staff can't hear from the back. Tool: Upfirst (AI receptionist). The owners say staff now know what a message is about before calling back, so they can jump right in.
How to set up an AI receptionist for your salon, step by step
- See when you miss calls. Check your phone log for a couple of weeks: during busy hours, at lunch, after closing and on closed days. A New York salon in our list found callers rarely left voicemails.
- Pick a tool that books into your salon software. The examples here use Square, Meevo, Phorest and Mindbody. Make sure it can book, move and cancel, not just take messages.
- Load your services, prices and stylists. List every service, how long it takes, the price, and which stylist does it. Add your answers to the questions people ask most.
- Start with busy hours or after hours. Davey Dublin started with after-hours calls only, and Salon Sora sends calls to the AI once the front desk goes home. Widen it once you trust it.
- Set up call forwarding. Most salons forward unanswered or after-hours calls to the AI's number. Onur Salon got a second number for the AI and forwarded calls to it.
- Pick a voice that fits. Choose a voice and accent your clients will be comfortable with. Give regulars a few days to get used to it.
- Check the bookings every week. Look at what it booked, what it got wrong and which calls it passed on. Fix the service list or answers one thing at a time.
